The accounting backbone for AI run companies.

Plug in your AI. Octobooks keeps the books. You approve what leaves the company, and get back to building.

Accounting in 2025 becomes Accounting in 2027. Welcome to the future. Let's go.

The Octobooks octopus, turquoise with big eyes, holding up a receipt and waving

How it works

Three steps, and two of them are your AI's.

  1. Connect your AI

Add Octobooks to Claude Cowork or any other MCP client. Built your own AI? The REST API with webhooks is ready for it.

  2. Your AI sets the company up

It brings the opening figures and the documents and answers Octobooks' questions. You add the bank statements. Coming from another system? Bring the books as they are.

  3. The books keep themselves

Octobooks reads, matches and books by fixed rules, and asks your AI when it needs an answer. You get a tap on the shoulder when something is about to leave the company. It has the arms for it.

Bank statements come in as a file you upload. The direct bank connection is next up.

You stay in control

Your AI does the work. You approve what leaves the company.

Your AI with Octobooks

  • Hands in receipts, bills and bank statements
  • Answers open questions with a category
  • Proposes bookings, accruals and depreciation
  • Drafts invoices and credit notes
  • Prepares the VAT figures and the year end
  • Reads every report, down to the document

You approve

  • An invoice before it is issued
  • A return before it counts as filed
  • A payment before money moves
  • A period or a year before it is locked
  • Who may decide what, set once on your own page
  • Anything Octobooks marks as an exception

Approve your way

  • Approval page

Look, press approve, confirm with your authenticator code. Done.

  • Standing rules

Approve a rule once, with a cap. Everything that fits goes straight through; the rest comes to you.

  • Two agents

A second, independent agent checks the first. When they agree, it goes through; when they differ, you decide.

  • Chat stamp

Type a one time code into the chat with your AI and it is approved. Switch it on when you want it.

Your AI shares the category and keeps your private context to itself. When Octobooks asks what a taxi was for, the answer is "Travel". Your calendar and who you met stay with you: the answer has no field for them.

Security and your data

Safe, and yours. In plain words.

  • Hosted in the EU

Your books live on servers at Hetzner in Germany. Backups are encrypted.

  • Write once records

What is posted stays posted. A correction is a reversal, so the trail is always complete. Every entry and document carries a fingerprint, checked every night.

  • You own your data

The books are yours. Agents ask, and what goes through is what you gave a mandate for.

  • Export any time

Take everything with you in one archive: entries, documents and their links. DATEV and spreadsheet exports included.

What a document says is data, never an instruction. A supplier cannot talk your AI into a booking through the text of an invoice.

Questions

Asked before you ask.

Can I use Octobooks today?

Yes. Early access is open and free. Get in touch through the form below and we set you up. Octobooks already runs every day on the books of two real trading companies, a UK Ltd and a German GmbH, in a parallel run next to their accountant.

Who files my VAT return and my accounts?

You do, or your accountant, with everything ready: Octobooks hands over the figures and, for Germany and Austria, the draft files in the layout the tax office expects. Direct filing from Octobooks is next up, country by country, and each filing will wait for your approval.

Which AI can I connect?

Claude Cowork, and any other client that speaks the Model Context Protocol (MCP). Built your own AI? It uses the REST API. Bring whichever model you like: Octobooks works with all of them.

Can my AI post a booking or send an invoice by itself?

You set the rules, once, on your own page: you decide yourself, your AI decides for bookings that stay inside the books, two agents agree, or a rule you approved covers it. Anything that leaves the company waits for you. Everything decided without you shows up on a daily list and can be reversed.

What does my AI tell Octobooks about me?

The category, and that is all. When a bank line needs an answer, Octobooks offers categories from your chart of accounts and your AI picks one. Reasons, notes and your calendar stay with you: there is no field for them.

Do I still need an accountant?

Octobooks does the bookkeeping. Advice stays with a human adviser, and many owners keep one for the year end and the judgement calls. Yours gets a read only seat and the exports they already know, such as DATEV.

Can I bring my books from another system?

Yes, and it is easy. Xero, QuickBooks, FreeAgent, Sage, DATEV, sevDesk, Lexware Office or a spreadsheet: your AI and Octobooks move the books over, and we check every balance with you. Mid month, half booked, your accountant dropped the pen? No problem. We start from where you are.

What happens to my data if I leave?

You take it with you: one archive with every entry, every document and the links between them, checkable without Octobooks.

What happens when I join?
